Training Required: Experience in volunteer management or coordination, orientation on SAFE Camp operations

Role Summary

The Volunteer Coordinator is responsible for recruiting, scheduling, and managing volunteers at SAFE Camp, ensuring they are well-prepared, effectively deployed, and supported during their service. This role involves organizing volunteer assignments, conducting orientation sessions, tracking volunteer hours, and serving as the primary point of contact for volunteers throughout their deployment. By fostering a positive and supportive environment, the Volunteer Coordinator helps maximize volunteer impact and align efforts with camp needs.

Key Responsibilities

  • Volunteer Recruitment and Scheduling: Coordinate recruitment efforts, schedule shifts, and assign volunteers to roles based on camp needs and individual skills.
  • Orientation and Training: Conduct daily orientation sessions for new volunteers, covering camp rules, safety protocols, and assigned responsibilities.
  • Volunteer Support and Communication: Serve as the main contact for volunteers, addressing questions, concerns, and providing ongoing support to enhance their experience.
  • Attendance and Tracking: Monitor attendance, track volunteer hours, and maintain records for reporting and follow-up.
  • Feedback and Evaluation: Collect feedback from volunteers and team leads, making adjustments to improve the volunteer program and recognizing individual contributions.

Qualifications

  • Experience in volunteer management, event coordination, or human resources.
  • Strong organizational and communication skills, with the ability to manage schedules and coordinate across teams.
  • Ability to work under pressure and adapt to changing conditions in disaster relief settings.
  • Proficiency in tracking tools and databases for managing volunteer hours and schedules.

Working Conditions

This role requires on-site work in disaster-affected areas, often under demanding conditions. The Volunteer Coordinator may work irregular hours, including weekends and evenings, to accommodate volunteer schedules and support camp operations. Flexibility, resilience, and strong people skills are essential in this position to maintain an organized and motivated volunteer force.

VOLUNTEER COORDINATOR

1. New Volunteer Coordination

    Direct all new volunteers to you upon arrival to ensure proper onboarding and assignment. Confirm they understand the importance of checking in with you first.

    Designate and train a backup volunteer who can assist with coordinating duties when the camp is busy or if you need to step away. Ensure they know how to assign roles, register new arrivals, and handle any immediate needs.

    Register new volunteers in Stability (the volunteer management system). If a volunteer will be staying for more than two days, ensure they complete a Background Check as part of their registration.

2. Orientation and Tour

    Provide new volunteers with a guided tour of the camp, explaining the layout and SAFE Camp’s mission to offer immediate disaster relief to affected communities.

      Camp policies and safety rules: Explain the rules they need to follow and the camp’s code of conduct.

      ZELLO app training, if required for their position: Ensure they are familiar with how to use the app for real-time communication.

      Direct them to the whiteboard(s) where key information and updates are posted daily.

3. Training and Resource Distribution

      Donation Form: For tracking and logging incoming donations.

      Survivor/Needs Assessment Form: For assessing and logging the needs of disaster survivors arriving at camp.

    Provide volunteers with supplies such as gloves, bug spray, and sunblock as needed. Make sure these resources are readily available in accessible areas.

    Know the T-shirt distribution policy and ensure that only the designated volunteer(s) are responsible for handing out volunteer shirts. This ensures proper tracking of who has received shirts and maintains professionalism at the camp.



CAMP OPERATIONS

1. Meal Coordination

    Plan and confirm the daily meal count for lunch and dinner in advance to ensure enough meals are prepared for all volunteers and staff.

2. Daily Reporting

3. Command Center Updates

CAMP MAINTENANCE

1. Keeping Camp Traffic-Free

    Ensure that traffic cones are set up and properly placed to prevent unauthorized vehicles from entering certain areas of the camp. This helps keep the camp safe, organized, and free from congestion.

    Regularly check throughout the day to make sure cones and barricades remain in place, especially if there is heavy foot or vehicle traffic.

2. Camp Cleanliness
